PROCUREMENT AGENT

JOB DESCRIPTION

HSD is looking for a professional, organized, and self-motivated Office Administrator & Procurement agent. To be successful in this position the candidate will need to be detail-oriented, diligent, efficient, a problem solver, and client-focused and above all a team player. The role will support the creative director and designers and play a pivotal role in ensuring the smooth operation of HSD’s office by providing administrative & procurement support across various departments. This role offers significant growth opportunities and holds immense potential for advancement. The candidate will be an integral part of the company’s success. This position requires candidate to be in person in our Laguna Beach location.

RESPONSIBILITIES

Responsibilities will vary from day to day but will mostly include:

  • Organize and manage all aspects of sourcing and purchasing of all FF&E from start to finish- from initial pricing to installation logistics.

  • Prepare client proposals, vendor purchase orders, and invoices in Studio Designer 

  • Work with the Accounting and Finance team on updating payment schedules, priorities, and requests. Create, audit, and match invoices, and investigate pricing discrepancies. 

  • Oversee company expenses and reconcile accounts. Prepare reports and forecasts for management review.

  • Track and Maintain budgets and timelines 

  • Provide administrative support to the creative director including scheduling appointments, managing emails, and making travel arrangements.

  • Undertake market research as directed by the design team.

  • Assist and grow the company’s marketing efforts.

  • Interface with all vendors, logistics companies, and warehouse teams and maintain clear documentation. 

  • Workroom and site visits 

  • Plan, track, and coordinate the studio’s product line.

  • Maintain and keep the materials library updated.

  • Keep the office functional (answer phones, receive packages, organize samples, general upkeep, etc.) 

  • Act as a liaison between the office staff and the creative director.

  • Coordinate and organize client installations with the design team. 
    Assist in preparing reports.

  • Human Resource Management

  • Maintain office calendar, meetings, schedules, and product inquiries.

REQUIREMENTS

QUALIFIED CANDIDATES MUST HAVE: 

 

  • A minimum of 3-5 years of relevant administrative experience.

  • Excellent written and verbal communication skills 

  • Proactive, problem solver, and positive attitude.

  • Ability to prioritize and focus 

  • Ability to communicate effectively with clients and manage client expectations

  • Ability to successfully undertake tasks from beginning to end

  • Proficient in Microsoft Excel

  • Proficiency in Studio Designer is a plus.

  • A bachelor’s degree is a plus.

  • High-end residential & Hospitality experience is a plus.

  • Enjoys working and take pride in their roles and accomplishments 

  • Must be authorized to work in the U.S

 INTERIOR ARCHITECT/DESIGNER

Full-time | On-site

Laguna Beach | Los Angeles, CA

RESPONSIBILITIES

  • Create project documentation including the submission of a full drawing set, specification writing, schedules, and construction administration.

  • Responsible for material sourcing and specification, custom furniture design, visual research, furniture sourcing, graphic and visual presentations.

  • Assist creative director with project budgets, schedules, and client communication.

  • Collaborate seamlessly with clients, as well as other designers, architects, contractors, fabricators, and developers on multiple projects.​​

  • Mentor interior junior studio staff.

SKILLS & EXPERIENCE

5+ years of experience in interior architecture, interior design or architecture, and Bachelor/Master degree from an accredited school.

  • The ideal candidate is passionate about design, a team player, and detail-oriented.

  • Take the initiative and work under pressure.

  • Advanced 2D drawing skills.

  • Exceptional communication, interpersonal and organizational skills.

  • Produce complete, fully coordinated, detailed design packages and technical documents with minimal oversight.

  • Advanced knowledge of Autocad/Revit, Adobe Creative Suite (Photoshop, Illustrator, InDesign), Rhino, Studio Designer and Microsoft Office Suite.

  • 3D modeling and realistic rendering ability would be a plus using software such as but not limited to 3ds Max, V-Ray, and Enscape.

  • Manages projects to completion, including work performed by internal and external resources.

  • Assigns tasks, oversees work, provides feedback to staff assigned to projects, and mentors junior staff's technical and design development.​
